How to Search for a Contact in the Data Centre

You can search for specific participants by their name, email, or other details using the search bar and filters

The Data Centre's Contacts Tab provides a comprehensive, de-duplicated view of participants across your promotions. You can search for specific participants by their name, email, or other details using the search bar and filters. This guide will show you how to efficiently locate a particular contact.

 


Steps to Search for a Particular Contact

1. Navigate to the Contacts Tab

  1. Go to the Data Centre.
  2. Click on the Contacts Tab in the main navigation menu.

2. Use the Search Field

  1. Locate the Search Bar at the top of the Contacts table.



  2. Enter your search query, such as:
    • Participant's name.
    • Email address.
  3. Press Enter or click the Search Icon to execute the search.
  4. The table will automatically update to display only the contacts matching your query.

3. Refine Your Search Using Filters

If the search bar doesn’t produce the desired results, use the filters for more targeted searches:

  1. Total Promotions Entered: Filter participants by the number of promotions they have engaged with.
  2. First Entry Date: Narrow results based on when the participant first engaged with any promotion.
  3. Last Entry Date: Focus on participants who recently interacted with your promotions.
  4. Promotion: Search for contacts associated with a specific promotion.

Example:

To find a participant named "Jane Doe" who entered promotions in December 2024:

  1. Enter "Jane Doe" in the search bar.
  2. Apply filters:
    • First Entry Date: December 1–31, 2024.
    • Promotion: Select the relevant promotion.

4. Sort the Results

  1. Once your search results are displayed, you can sort the table by clicking on column headers (e.g., Name, Email, Last Entry Date).
  2. Sorting is especially helpful if multiple results match your query.

 

Using Saved Searches

  1. For recurring searches, use the Saved Searches feature to save your filters and search criteria.
  2. Click Save Filters after configuring your search.
  3. Access your saved search from the Saved Searches dropdown for quick use.

Q1: Can I search for contacts across multiple promotions?
Yes, the search bar searches across all contacts in the Data Centre. To narrow results to a specific promotion, use the Promotion Filter.

Q2: Can I search by partial information?
Yes, you can use partial names or email addresses. For example, typing "Jane" will return all contacts with "Jane" in the name or email.

Q3: What happens if no results are found?
If no results match your query, try removing some filters or double-checking your search term.

Q4: Can I export my search results?
Yes, after performing a search, click the Export List button to download a CSV file of the filtered results.
