Introduction to the Data Centre

The Data Centre is the central hub for managing all your promotion-related data.

It is divided into five primary tabs:

  • Entries
  • Contacts
  • Manage InviteLinks
  • Insights
  • Sweepstakes

 

 

Each tab serves a unique purpose, allowing you to view, analyze, and manage data in a user-friendly interface.

Key Features:

  • A unified platform for managing participant and promotional data.
  • Dynamic fields that automatically update based on your promotion setup.
  • Advanced filtering, sorting, and exporting options.
  • Integration with other BeeLiked features such as InviteLinks and Insights.

 

2. Entries Tab

The Entries Tab is where you can view and manage all entry data from your promotions. This includes individual participants’ information and their outcomes.

 

 

Key Features:

  1. Dynamic Fields:

    • The table automatically reflects fields added to the entry form of your promotions.
    • You can show or hide specific fields to customize your view.
    • By clicking on any row, you can expand the view and see more data.



  2. Filtering Options:


     

    • Filter entries by:
      • Promotion: Select specific promotions.
      • Entry Date: View entries completed within a date range.
      • Opened Date: See when participants first visited the promotion’s start page.
      • Entry Method: Filter by Private or Public entries.
      • Game Type: Filter based on the type of game used in the promotion.
      • Draft Entry: Exclude test entries (enabled by default).
  3. Sorting:

     

     

    • Click on column headers to sort by fields like Name, Promotion, Result Label, etc.
  4. Exporting:

    • Export all data in the table or just the filtered subset.
    • The export includes all displayed fields, ensuring you get a comprehensive dataset.

 

3. Contacts Tab

The Contacts Tab focuses on participants, providing a de-duplicated view of people instead of individual entries. This allows you to track participant behavior over time.

 

Key Features:

  1. De-Duplicated Data:

    • Combines all entries from the same person into a single profile.
    • Tracks activity across multiple promotions.
  2. Filtering and Sorting:

    • Filter participants by behaviors, such as the number of promotions entered or specific outcomes.
    • Sort by fields like Name, Email, or Participation Frequency.
  3. Exporting:

    • Export participant data for further analysis.

 

4. Managing InviteLinks

The Manage InviteLinks Tab is where you can view and manage all InviteLinks created for your promotions.

 

 

Key Features:

  1. Filter and Sort:



     

    • Filter InviteLinks by criteria such as creation date or associated promotion.
    • Sort links to identify those that are most or least used.
  2. Exporting:

    • Export a list of InviteLinks for reporting or further analysis.
  3. Expire Links:

     


     

    • You can expire an InviteLink by clicking on the clock icon
  4. Copying Links:

     

     
    • You can copy an InviteLink by clicking on the copy icon

 

5. Insights Tab

The Insights Tab provides visual summaries of promotion performance over time, helping you analyze trends and success rates.

Key Features:

  1. Visual Data Summaries:

    • View metrics such as entries over time, participant engagement, and promotion outcomes.
  2. Filtering:

    • Focus on specific promotions, time periods, or aggregate data views.
  3. Performance Comparison:

    • Compare the performance of multiple promotions to identify trends.

6. Sweepstakes Tab

 

The Sweepstakes Tab is currently under transition and still relies on the existing Winner Picker tool for managing random draws.

Key Notes:

  • Sweepstakes functionality will be fully integrated into the Data Centre in a future release.
  • For now, you must access the Winner Picker via the old Entries module.

Temporary Workflow:

  1. Go to the existing Entries module.
  2. Locate the Winner Picker tool.
  3. Follow the steps to run a random draw and select winners.

 

Common FAQs for the Data Centre

Q1: What is the difference between Opened Date and Entry Date?

  • Opened Date refers to when a participant first landed on the start page of your promotion.
  • Entry Date refers to when they complete all the steps to enter the promotion.

Q2: Can I exclude test entries?

  • Use the Draft Entry filter (enabled by default) to exclude test data.

Q3: What happens if I add new fields to my promotion’s entry form?

  • The Data Centre’s table dynamically updates to include any new fields.

Q4: Can I save filter settings for future use?

  • Yes, use the Saved Searches feature to save your filter configurations.
