      How to Set Up and Send Invites to Your Personalized Private Promotions via email using BeeLiked

      BeeLiked makes sending InviteLinks for private promotions easy using your transactional email service. We currently support Mailchimp, and integrations for other platforms like SendGrid are coming soon.

      This guide explains how to set up and send Personalized Private Promotions using InviteLinks while ensuring smooth delivery through your Mailchimp account.

       

       

      Step 1: Connect Your Mailchimp Account

      1. Go to the Account Details section in Settings and connect your Mailchimp account.
        • Provide your Mailchimp API key to enable the integration.
        • Select the audience list in Mailchimp that will receive your InviteLinks.

       

       

       

      Step 2: Set Up Your Private Promotion

      1. Log in to BeeLiked and navigate to the promotion you want to send.
      2. Go to the Launch Control page and make sure the promotion is set to Private.


       

      Step 3: Goto to the Share Centre

      1. Select the Share Center from the main left-hand menu.
      2. Locate the InviteLinks section within the Share Centre.

       

       

       

      Step 4: Choose Invite Type

      Make sure you select Personalized. 

      • You need to have an email address for your invitee to be able to send the InviteLink.

       

       

      Step 5: Configure InviteLinks

      1. In the InviteLinks section, select the promotion you wish to generate InviteLinks for




      2. Select Personalized and choose whether you want to generate the InviteLinks Individually or in Bulk.


        1. Either Upload a CSV file with participant details (e.g., first name, last name, email) or add the details manually.




        2. If you add the data in bulk, you must map the fields in BeeLiked  (e.g., email and name).



         

      3. If you have an Enterprise plan, you can also set an expiration date.



      4. Click Generate. The InviteLinks will now be generated, and as long as you've uploaded no more than 1,000, you can configure your email. 

       

       

      Step 6: Configure the Email in BeeLiked

      1. You will now see something similar to this.

        Or if you upload in Bulk something like this




      2. Use BeeLiked’s email editor to configure the following:

        • Subject Line: Create a subject line for the email (e.g., “Your Exclusive Invitation Awaits!”).

        • Email Body: Design the content of the email, including Short Codes for personalized details like:

          • Name 
          • The unique InviteLink

        • Example:

          Hi [First Name],
          Click the link below to access your exclusive promotion:
          [Unique InviteLink]
          Enjoy your experience!

      3. Preview the email to ensure all fields and placeholders are correctly set up.

       

       

      Step 7: Send the Emails

      1. Finalize the email setup and confirm the InviteLinks that will be sent. You can send a test email if you'd like to




      2. Click Next and then Send Email Now to initiate the email dispatch through Mailchimp.
        • BeeLiked will send the emails using your Mailchimp account in batches so as not to trigger spam / errant behavior warnings with Google, etc.

       

       

      Step 8: Monitor InviteLink Usage

      Go to the Manage InviteLinks section in Share Center to track InviteLink usage:


       

       

      Step 9: Track entries and export data

      At any time, you can see who's entered your promotion(s) in the Entries Module and export this data via CSV or automate it using Zapier or the BeeLiked API.

       

       

      Troubleshooting Common Issues

      1. Emails Not Sending:

        • Ensure your Mailchimp account is connected in the BeeLiked platform.

      2. Links Not Working:

        • Check that the promotion is active and that the InviteLinks have not expired.
        • Check that your entry allowance hasn't ran out

      3. Email Placeholder Errors:

        • Ensure all placeholders (e.g., [First Name], [Unique InviteLink]) are correctly mapped in the BeeLiked email editor.
